Closing: Summary Provides high-level administrative support to the Department of Human Services (DHS) and plays a central role in its day-to-day operations. Relieves the DHS Chair and program coordinators of routine and non-routine administrative responsibilities. Prepares correspondence and reports, maintains calendars, manages digital file systems, and monitors departmental budgets. Assists with course scheduling, compliance documentation, personnel searches, and special events. Serves as a visible, welcoming presence to students, faculty, staff, and visitors.
Essential Functions Coordinates and oversees day-to-day administrative operations of the department. Develops and implements policies, procedures, and forms related to departmental functions. Identifies opportunities to improve administrative workflows and support departmental operations.
Monitors departmental budget expenditures using spreadsheets and budget tools. Creates requisitions, submits invoices, reviews financial documents, and assists with faculty travel and professional development reimbursements. Manages Chrome River and P card processes and tracking.
Supports academic operations and course scheduling by collecting syllabi, verifying textbook adoptions, entering course data into scheduling systems, and ensuring compliance with university protocols and time grid requirements.
Manages and coordinates department calendars and meeting schedules using Microsoft Outlook and Teams. Maintains organized digital file systems, supports electronic workflows, and ensures timely sharing and storage of documents for planning, reporting, and accreditation. Uses Microsoft Office applications, including Word and Excel, and operates standard office equipment to support document creation, scanning, and retrieval.
Assists with internal and external event planning, including communication with university offices and external partners. Coordinates guest parking requests. Serves as a visible liaison for the department, responding to inquiries and facilitating access to university resources.
Oversees the department's copy and mail room. Orders and organizes office supplies. Submits work orders for equipment or building repairs. Coordinates building and classroom access as needed.
Coordinates departmental personnel searches. Posts advertisements, manages applicant records, and corresponds with candidates. Assists with interview logistics, including scheduling, travel, and reimbursement processes.
Supports routine updates to department web pages and social media platforms. Learns and uses BGSU-specific software systems relevant to academic administration, including those related to budgeting, scheduling, purchasing, and reporting.
Minimum Qualifications Experience - One year related experience required
Education - High school diploma or GED required
